Overview

The Executive Administrative Assistant, Real Estate, Design & Construction will provide executive level administrative support to the Senior Vice President of Real Estate, as well as overall departmental support. Ensures all day-to-day departmental activities are executed at a high level by maintaining ongoing communication, organizing all routine departmental activities and handling special projects as needed. The role requires coordination and interaction within the department, with other departments within Burlington and outside parties, often working with information that is of a critical or confidential nature and where the impact of disclosure/error could be significant. A high degree of initiative is required; in particular, in driving process improvement within the department and in its interactions with other departments, business operating teams and third parties. The role will be frequently involved in special projects related to team development and project / program management (creation of speaking points, decks, etc.)

  • Exercise independent judgment and personal initiative in performing technical, specialized, and complex administrative work of a confidential nature. Act as liaison between other executives and staff in matters involving their office, including meetings, documentation, and activities requiring authorized action.

  • Manage the SVP schedule and calendar; arrange meetings, conference calls and appointments. Independently problem solve scheduling conflicts.

  • Manage PTO for Real Estate team

  • Receive and screen communications to the SVP, including telephone calls and messages, and/or, itinerary planning, meeting coordination. Prepare and process expense reports.

  • Provide assistance using independent judgment to determine those requiring priority attention. Review and evaluate mail to identify those items requiring priority attention. Prepare for SVP review and attention.

  • Coordinate travel, including ground transportation, hotel accommodations

  • Produce material to support meetings, often of a confidential nature. Compose messages, reports, presentations, speaking points, organization charts, rough drafts, etc. Work with time sensitive and confidential information. Exercise tact, diplomacy and discretion in written and verbal communications.

  • Manage and coordinate resources for corporate new hires including IT equipment, appropriate systems access, onboarding and initial meetings.

  • Organize team events and meetings, including identifying and reserving meeting space and managing contracts, organizing transportation, aggregating and coordinating meeting materials from business partners, organizing meals and breaks by working with caterers, and facilitating events.

  • Maintain a variety of complex records and files, including material of a highly confidential nature (personal files, working files, personnel files and department files). Provide document services (copy, fax, distribute).

  • Manage personal matters and projects and other office duties as assigned.

Our ideal candidate will have a Bachelor’s Degree with 4+ years supporting a Senior Executive.
